Privacy

Planning your trip with me means sharing information that you would not tell a booking website. Here is exactly what happens to that information.

The short version

I collect what I need to plan your trip and nothing else. I share the minimum required to actually book it. I do not sell your information, I do not rent it, and I do not hand it to advertisers. You can ask me what I hold, correct it, or have it deleted, and I will do it.

The access and medical details you share with me exist to get you a room that works and a plan that holds. They are never used to decide whether I will work with you, and they are never shared with anyone who does not need them to deliver something on your trip.

Discretion and specialized privacy needs

Privacy here is not only about access and medical details. For some clients the sensitive part is the trip itself: where you are, when you are gone, and who is with you.

I have spent more than 20 years in roles where discretion was the baseline, working with families whose names you would recognize and families who simply value their privacy. Every client gets the same handling. Your travel dates, your party, your health information, your family circumstances and your reasons for the trip go only to the suppliers who need them to do their jobs.

Nothing is ever posted, shared, or used as a client story without your written permission. Not a photo, not a first name, not an anonymized anecdote with the details filed off.

If you have specialized privacy considerations, tell me at inquiry and they are built into the plan rather than added later:

  • Booking under a different contact, or working through your assistant, attorney or family office.
  • Correspondence limited to named people, with everyone else off the thread.
  • Limiting what is visible to individual travelers inside your own party, including which arrangements and which costs.
  • Supplier communication that does not name you until a reservation requires it.
  • No review request afterward, and no mention of the trip on any channel, ever.
  • A non-disclosure agreement, if your team works that way. Send me yours and I will review and sign it.

These are part of planning your trip, not a separate service. They change who knows, not how well the trip gets built.

What I collect

When you send an inquiry

The inquiry form asks for your name, how to reach you, and what you are hoping to plan: destinations, dates, trip investment range, who is traveling, and what your party needs. You choose how much to put in it.

When we start planning

Booking a real trip needs more: legal names as they appear on travel documents, dates of birth, passport details for international travel, addresses, and payment details handled through the supplier's own secure system rather than collected by me in an email.

Access, medical and dietary details

This is the category that matters most here, so it gets its own paragraph rather than a line in a list.

To do this job properly I often need to know things like mobility equipment and its dimensions, whether someone transfers independently, sensory needs, dietary restrictions and allergies, service animal details, and medical equipment that has to travel with you or be available at the destination.

  • I ask for what affects the plan. I do not ask for a diagnosis, and intake never requires one.
  • I pass on only the specific detail a supplier needs to act. A hotel gets the roll-in shower requirement and the door width. It does not get a medical history.
  • I do not post client access details in marketing. When I write about the work, scenarios are real in shape and stripped of anything identifying, or the client has said yes to their own story in writing.
  • I am a travel advisor, not a healthcare provider. What you tell me is not protected health information under HIPAA, which is precisely why I am telling you how I handle it instead of pointing at a law.

Who sees it

  • Key to the World Travel and Travel Leaders Network. Enchanted Access is an independent business operating under Key to the World Travel, my host agency, within the Travel Leaders Network. Booking records live in agency systems, and the agency can see the bookings it is responsible for.
  • The suppliers on your trip. Hotels, resorts, cruise lines, tour operators, airlines, transfer and equipment companies. Each one gets what it needs to deliver its part, and no more.
  • Travel insurance carriers, if you choose to buy a policy through me. Those applications sometimes ask health questions. You answer them directly to the carrier wherever the carrier allows it.
  • The tools I plan in. An inquiry form provider, an itinerary and proposal platform, the agency's own client system, and an email provider. They process information on my behalf under their own terms and are not free to use it for their own purposes.
  • Nobody else. No data brokers, no advertisers, no list sales, no lead resale. If a law or a subpoena ever required disclosure I would comply, and I would tell you unless I were legally barred from doing so.

What this website itself collects

Almost nothing, and I would rather say that plainly than bury it.

  • Privacy-first analytics, and no advertising trackers. This site uses Cloudflare Web Analytics, which counts page views without cookies, without following you to other websites, and without collecting anything personal about you. I can see that a page was read and roughly where in the world from. I cannot see who read it, and neither can anyone else. There is nothing here to consent to, which is why you are not being asked.
  • One item of browser storage. If you switch between the light and dark theme, that choice is saved in your own browser so the site remembers next time. It never leaves your device and I cannot read it.
  • Fonts load from Google. Displaying the typefaces means your browser requests them from Google's servers, which means Google sees the request and your IP address. That is a real third party and you should know about it.
  • The inquiry form is a Jotform embed. What you type there goes to Jotform and then to me, under Jotform's own privacy terms. The Connect page also offers a plain link to open the form in its own tab, plus email and phone, if you would rather not use the embedded version at all.
  • The site is hosted by a static hosting provider which keeps standard server logs, the same as every website you visit.

How long I keep it

Inquiries that never turn into a trip are kept for about a year, in case you come back, and then removed. Client records are kept for seven years after travel, because commission, tax and supplier records require it. You can ask me to delete an inquiry at any time and I will.

Your choices

  • Ask me what I hold about you, and I will tell you.
  • Ask me to correct anything wrong.
  • Ask me to delete what I am not legally required to keep.
  • Tell me to stop emailing you, at any time, in any words. Newsletters carry an unsubscribe link and I honor it immediately.
  • Decline to answer anything. Some answers are needed to book a specific thing, and if that is the case I will tell you which and why rather than leaving you guessing.

Email or call and I will handle it myself. There is no form for this and no ticket number.

Children

I plan a great many trips for families with children, so I receive children's details from their parents or guardians for the purpose of booking. This site is not directed at children and I do not knowingly collect information from a child directly.

Changes to this page

If I add analytics, change tools, or change how anything here works, I update this page and change the date at the bottom. I will not broaden what I do with your information and leave this page saying something else.
